As our team grows and new opportunities unfold we are looking to bring on an Office Manager whose primary responsibilities will be managing the tasks and processes related to selling and buying real estate, as well as carrying out daily administrative duties.
General Objectives
Operations
Develops the Annual Operating Plan with input from the Board of Directors and manages the business according to said plan.
Responds to phone calls, emails, and website inquiries professionally and on time.
Confirms closing dates, location, documentation, and transfer of keys at closing
Facilitates communications with team members, including daily and weekly ad hoc status reports.
Assesses and monitors the timelines and progress of the sale as outlined in the real estate purchase agreement so deadlines are met.
Develops a strong understanding of residential real estate contracts, disclosures, and procedures.
Coordinates client events and keeps track of open houses, etc.
Works with 3rd party IT support teams.
Orders office supplies and any necessary materials.
Oversees general office maintenance.
Business Development
Ensures business growth by managing annual marketing and sales plan.
Develops and maintains business relationships with customers and develops new business partners and alliances for the business.
Creates a quality control system to ensure the smooth, consistent, and efficient management of all relevant steps necessary to close a real estate sale.
Creates and organizes prospect/client files, and oversees customer relationship management database.
Manages client files and collaborates with all parties to ensure required documents are complete.
Manages customer satisfaction for the Branches as measured by Net Promoter Score and encourages a culture of customer service.
Finance & Accounting
Monitors all appropriate business indicators including balanced scorecards, profit and loss metrics, and asset metrics.
Develops yearly financial budgets and monitors office spending.
Responsible for all functions and financial metrics for the business.
Ensures compliance with all tax and legal requirements.
Human ResourcesRecruits, develops, motivates, and retains high-quality customer service employees.
Promotes a culture of professionalism up to standards with the Sotheby’s brand.
MarketingManagement over the marketing department, ensuring all social media and advertisement goals are met.
Qualifications

Computer literate - Apple-MAC proficient, proprietary web-based applications, and comfortable learning new programs quickly and efficiently.

Task-oriented with high quality, organized, able to re-prioritize throughout the day, a strong sense of urgency, and personal accountability.
Adaptable, learns quickly, and responds effectively to varied challenges.
Real estate experience is helpful, but not required.
Terms & Conditions
Schedule: Full-time 40 hours per week, office-based plus remote Monday-Friday 8:30 am to 5:30 pm
